GCA Media & PR Request

This document outlines the process for requesting media and public relations services from the Group Corporate Affairs Department. Emphasis is placed on realistic timelines, deadlines, and detailed information to ensure effective assistance and delivery


REQUEST INITIATION

a. Departments seeking media and public relations services must initiate the request by completing the Media and PR Services Request Form provided below.
b. Provide a detailed description of the project (i. Minor Projects, ii. Major Projects or iii. Unplanned/Urgent Matters), campaign, or announcement requiring media and PR support.


REALISTIC TIMELINES AND DEADLINES

a. Requests should be submitted at least 7 days before minor projects. If the department has a major campaign that requires GCA's assistance, then a request should be submitted at least 14 business days ahead of the campaign's start date. Please consider including GCA in the initial planning stages so that we are abreast of the campaign's objective to properly execute. This is unless there is an urgent situation that needs to be addressed immediately.
b. GCA will review the request and provide feedback within 24 hours.

THIS PROCESS IS NOT NECESSARY FOR URGENT PR STATEMENTS, PUBLIC NOTICES AND EMPLOYEE NOTICES.


REQUIRED INFORMATION

a. Ensure all relevant information is included in the request form, including key messages, target audience, and desired outcomes.
b. Attach any supporting materials, such as images, videos, or other media assets.


INITIAL CONSULTATION

a. Upon request acceptance, a representative from GCA will schedule an initial consultation with the requesting department to gather additional details and clarify objectives. This is on a need-by-need basis.


DRAFT PROPOSAL

a. If necessary, GCA will develop a detailed proposal/campaign outlining the media and PR strategy, including timelines, milestones, key deliverables, and budget.
b. The proposal will be submitted to the requesting department for review and approval within 2-3 business days after receiving the request.


COORDINATION AND EXECUTION

a. Once the proposal is approved, GCA will coordinate with relevant departments to execute the media and PR plan.
b. Regular updates and progress reports will be provided to the requesting department throughout the execution phase.



FEEDBACK AND CONTINUOUS IMPROVEMENT

a. The requesting department is encouraged to provide feedback on the overall process and outcomes.
b. Lessons learned and feedback will be used to enhance future media and PR initiatives.


DOCUMENTATION

a. All communication, documentation, and media assets related to the media and PR services request will be appropriately documented and provided to your department for your archives.


COMPLIANCE

a. All media and PR activities must comply with relevant GBPA policies, regulations and guidelines.


REVIEW AND UPDATE

a. This document will be periodically reviewed and updated to ensure it remains effective and aligned with organizational objectives.


NOTE: The success of media and PR initiatives depends on the collaborative efforts of all involved departments. Timely and accurate information is crucial for the Group Corporate Affairs Department to deliver effective media and public relations services.
